Aggrégation des données demandée | Requesting that data be mashed up

Wow! It’s been almost two years since I last made a post on this platform. The positive side of things is : less chances of rambling, right ? Although, I’m not sure I haven’t, at least, approached what I’m about to write about in some previous post. It is commonly known that authors often write the same book over and over. Whether that is right or fabrication is irrelevant, my purpose, in keeping this blog (though posting only now and then), is having a repository with my trials using applications like Outlook©, data bases, tracking time spent you name it.

Ouah! Cela fait presque deux ans que je n'ai pas publié de post sur cette plateforme. Côté positif des choses: moins de risques de radoter, n'est-ce pas ? Bien que je ne sois pas sûr de ne pas avoir, au moins, abordé ce que je m'apprête à écrire dans un article précédent. Il est bien connu que les auteurs écrivent souvent le même livre encore et encore. Que ce soit vrai ou fabriqué n'est pas pertinent, mon but, en gardant ce blog (bien que ne postant que de temps en temps), est d'avoir un répertoire avec mes essais utilisant des applications comme Outlook©, des bases de données, le suivi du temps passé, etc.

One of my teachers in maths kept repeating that people that are good in mathematics are fundamentally lazy. They optimize time by looking for ways to reduce formulas and avoid redundant calculi. I can relate to the last part, I was average academically though 😀 .

We use multiple applications at work {Sharepoint©, Outlook©, Project©, Excel©¹, SAP©, Documentum©} in addition to a rather basic database for various events (non-conformances, REX, project orders…). Concerning the latter we developped three separate solutions… that don’t ‘talk’ to one another but I wouldn’t want to digress.

Un de mes professeurs de maths répétait sans cesse que les gens qui sont bons en mathématiques sont fondamentalement paresseux. Ils optimisent le temps en recherchant des moyens de réduire les formules et d'éviter les calculs redondants. Je peux m'identifier à la dernière partie, j'étais moyen académiquement cependant 😀 .

Nous utilisons plusieurs applications au travail {Sharepoint©, Outlook©, Project©, Excel©¹, SAP©} en plus d'une base de données assez basique pour divers événements (non-conformités, REX, commandes projets...). Concernant cette dernière, nous avons développé trois solutions distinctes... qui ne se "parlent" pas, mais je ne voudrais pas m'écarter du sujet.

Remember Yahoo! Pipes ? Sadly it no longer exists as Yahoo! decided to discontinue its service in 2015. It offered «…a graphical user interface for building data mashups that aggregate web feeds, web pages, and other services». I enjoyed using the service even though never to its full potential.

That’s the idea I’m trying here to elaborate about : building some sort of link between all the applications we are required to feed while avoiding repetitive records.

Se souvient-on de Yahoo! Pipes ? Malheureusement, cela n'existe plus car Yahoo! a décidé d'arrêter son service en 2015. Il proposait « ... une interface utilisateur graphique pour agréger des données regroupant des flux Web, des pages Web et d'autres services ». J'ai aimé utiliser le service même si jamais à son plein potentiel.

C'est l'idée que j'essaie ici de développer : établir une sorte de lien entre toutes les applications que nous sommes amenés à alimenter en évitant les enregistrements répétitifs.

The image I picked on the internet and placed at the top of this post pictures quite accurately the type of mashing-up I have in mind. Truth be told I nicked that image from PowerBI website. If that application does already what I have in mind what is the point of going on fantazising about anything else ? For a start we don’t have that PowerBI app, we have no information as to when it will be avaible for us to play with use it. Second, I like ‘building’ my own tools so that whenever something goes wrong I am capable of fixing it.

For a long time, ever since I worked in Finland actually, Access© was my tool of choice.

L'image que j'ai prise sur Internet et placée en haut de cet article représente assez précisément le type de mélange que j'ai en tête. À vrai dire, j'ai piqué cette image sur le site Web de PowerBI. Si cette application fait déjà ce que j'ai en tête à quoi bon continuer à fantasmer sur autre chose ? Pour commencer, nous n'avons pas cette application PowerBI, nous ne savons pas quand elle sera disponible pour que nous puissions jouer avec l'utiliser. Deuxièmement, j'aime «construire» mes propres outils afin que, chaque fois que quelque chose ne va pas, je sois capable de les réparer.
Pendant longtemps, depuis que j'ai travaillé en Finlande en fait, Access© était mon outil préféré.

I deliberately put the three images together because they share the same similarity : a graphical interface to build links between datas. Datas may come from another Access© database, from another type of database even (on the proviso it offers compatible formats), Excel© spreadsheet may be used as well. In short, why PowerBI when one has already all necessary tools at disposal? I suspect P-BI will provide nicer ways to display things though.

J'ai délibérément réuni les trois images car elles partagent la même similitude : une interface graphique pour créer des liens entre les données. Les données peuvent provenir d'une autre base de données Access©, voire d'un autre type de base de données (à condition qu'elle propose des formats compatibles), le tableur Excel© peut également être utilisé. Bref, pourquoi PowerBI quand on a déjà tous les outils nécessaires à disposition ? Je soupçonne pourtant que P-BI fournira des moyens plus agréables d'afficher les choses.

In my profession I am required to use three applications : SAP©, Documentum© and Teexma©. The latter is the plateform upon which our database for quality events was developped. SAP© may not be visually attractive but it’s a true bulldozer, so is Documentum©. Both SAP© and Documentum© provide huge amount of datas, many of which are collateral to what one records : when I record anything other datas come along (whether willing typed in or infered [metadatas]).

One can only agree with me that feeding yet another spreadsheet with data that already exist elsewhere does not make sense.

Dans mon métier je dois utiliser trois applications : SAP©, Documentum© et Teexma©. Cette dernière est la plateforme sur laquelle notre base de données d'événements de qualité a été développée. SAP© n'est peut-être pas attrayant visuellement mais c'est un véritable bulldozer, tout comme Documentum©. SAP© et Documentum© fournissent tous deux une énorme quantité de données, dont beaucoup sont collatérales à ce que l'on enregistre : lorsque j'enregistre quoi que ce soit, d'autres données s'ajoutent (qu'elles soient volontairement saisies ou déduites [métadonnées]).
On ne peut qu'être d'accord avec moi sur le fait qu'alimenter une énième feuille de calcul avec des données qui existent déjà ailleurs n'a pas de sens.

Excel©, Access© and even MsProject© should only be used after they’ve been fed from datas coming from SAP©, Documentum© and Teexma©. On a side note, I’m not even certain about Access© anymore, considering how Excel© benefited from major improvements whereas I haven’t seen much change in Access© over the years.

I should know, I spent enough time and energy working the other way around.

Excel©, Access© et même MsProject© ne devraient être utilisés qu'après avoir été alimentés par des données provenant de SAP©, Documentum© et Teexma©. En passant, je ne suis même plus certain d'Access©, compte tenu de la façon dont Excel© a bénéficié d'améliorations majeures alors que je n'ai pas vu beaucoup de changements dans Access© au fil des ans.

Je devrais le savoir, j'ai passé assez de temps et d'énergie à travailler dans l'autre sens.

À la recherche d’un réseau social | Social network wanted

All good things must end one says, I didn’t expect this to happen so soon though. Why it’s only in march 2016 that our social network, Yammer, reactivated. In less than two years it reached over 2000 members and was steadily growing.

Toutes les bonnes choses doivent finir dit-on, seulement je ne m’attendais pas à ce que ça s’arrête si vite. Quand même ce n’est qu’en mars 2016 que nos réseau social, Yammer, reprit vie. En moins de deux années il a atteint plus de 2000 membres et continuait de grandir régulièrement.

End of this year beginning of next (don’t know precisely when) we are to part company with other branches of the enterprise which, in the process, take the social network along.

À la fin de cette année au début de la prochaine (j’ignore précisément quand) nous nous séparons d’autres branches de la compagnie qui, dans le process, emporte le réseau social avec elles.

So, Yammer is over, long live [insert here what ever will replace it]. Several questions remain : should we create another social network, from scratch ? Why, what for ? Should we even use the same platform ? If not Yammer, what other network : Asana, Slack, Whaller, Diaspora, Path, Sharepoint even ?

Donc Yammer est mort, vive [insérer ici ce qui le remplacera]. Plusieurs questions subsistent : devrions-nous créer une autre réseau social, à partir de rien ? Pourquoi, pour quoi ? Devrions-nous même utiliser la même plateforme ? Sinon Yammer, quel autre réseau : Asana, Slack, Whaller, Diaspora, Path ou même Sharepoint ?

Several factors are to be taken into account one of which is paramount : the ability to host the platform which would indeed solve the confidentiality issue, this matter alone cannot be taken lighly.

Plusieurs facteurs doivent être considérés dont l’un est primordial : la possibilité d’héberger la plateforme ce qui résoudrait ainsi la question de la confidentialité, ce problème à lui seul ne peut être pris à la légère.

Besides Sharepoint I only see Diaspora with the possibility to host the application. Truth be told Sharepoint has the inside track as it intregrates well with all other Microsoft products : Outlook, Excel and – the one app I have a soft spot for – Access.

En plus de Sharepoint je ne vois que Diaspora qui offre la possibilité d’être hébergé. À dire vrai Sharepoint est le favori du fait qu’il s’intègre bien aux autres produits Microsoft : Outlook, Excel et – l’application pour laquelle j’ai un faible – Access.

I don’t wish to turn this post into an advert for Microsoft¹ but in two years of Yammer I’ve seen, what, 20 persons max that were truly commited to make the community live. People simply don’t know what to make of social networks, least of which one that would force them to chose between their beloved Outlook and posting, sharing, contributing,…

Je ne souhaite transformer ce billet en une publicité pour Microsoft¹ mais en deux années de Yammer j’ai vu, quoi, 20 personnes au plus vraiment dédiées à faire vivre la communauté. Les gens ne savent tout simplement pas quoi faire des réseaux sociaux, encore moins une qui les forcerait à choisir entre leur Outlook chéri et poster, partager, contribuer,…

With Sharepoint I fairly know how to talk people into changing their habits : I can see myself instructing them the advantage of posting on Sharepoint and make all recipients receive notifications versus what they normally do : emailing (force feeding is more like it) each and everyone of said recipients. Where is the information in the latter case, where could one retrieve it any time later, how about the overall storage capacity required, …

Avec Sharepoint je vois bien comment convaincre les gens de changer leurs habitudes : Je me vois les instruire des avantages de poster sur Sharepoint et faire que tous les récipiendaires reçoivent des notifications par rapport à ce qu’ils font d’habitude : emailer (gaver serait plus exact) chacun desdits récipiendaires. Où est l’information dans le deuxième cas, où pourrait-on la retrouver n’importe quand, plus tard, quant à la capacité de stockage totale requise,…

The learning curve would definitely look less dramatic with Sharepoint whereas with any other social network it would heavily depend upon the ability of management to learn how to use yet another application on top of changing habits.

L’apprentissage paraîtrait vraiment moins rude avec Sharepoint tandis qu’avec n’importe quel autre réseau social cela dépendrait beaucoup de la capacité qu’aurait le management d’apprendre comment utiliser encore une autre application en plus de changer des habitudes.

For sure I’ll have a twinge of regret when I leave Yammer. After all I created it almost 10 years ago, from scratch. I’m rather proud of what that baby has become, I am truly pleased that others took time to make it grow and shape up a form of community. Best of luck to them for the future.

Évidemment j’aurai un pincement au cœur quand je quitterai Yammer. Après tout je l’ai créé il y a presque 10 ans, à partir de rien. Je suis plutôt fier de ce que ce bébé est devenu, j’ai du plaisir à voir que d’autres ont consacré du temps pour le faire grandir et former une sorte de communauté. Bonne chance à eux pour le futur.

Setting up a Kanban with Outlook© | Mise en place d’un Kanban avec Outlook©

Kanban is a project management system where you post cards of all project’s tasks on a board. The board is divided into columns for each stage of execution (e.g., To Do, In Progress, Focus, Completed,… ). Trello works that way.

Kanban is a système de gestion de projets dans lequel on affiche des cartes de toutes les tâches d’un projet sur un tableau de bord. Le tableau est divisé en autant de colonnes qu’il y a d’étapes d’exécution (e.g., À Faire, En Cours, Focus, Complété,… ). Trello fonctionne ainsi.

Because all emails, calendar appointments and tasks are in Outlook there is no point duplicating tasks to a yet another application.

Parce que tous les emails, rendez-vous du calendrier et les tâches sont dans Outlook ce n’est pas la peine de dupliquer des tâches dans une autre application.

1. Go to url : https://github.com/evrenvarol/outlook-taskboard and download/extract the master.zip file. Allez à l’url ci-dessus et téléchargez/extrayez le fichier master.zip.
2. Create task folders : Inprogress, Focus, Next, Waiting, Completed as shown in below picture. Créez les dossiers tâches comme ci-dessus selon l’image ci-après.For Outlook Home page / Pour la page d’arrivée sur Outlook
3. Create another folder (of any type) and name it something like “Taskboard”/ Créez une autre dossier (de n’importe quel type) et nommez le “Taskboard”.
4. Right-click the folder, and then click Properties. Select the Home Page tab in the Properties dialog box. / Clic-droit sur le dossier puis choisissez Propriétés. Sélectionnez l’onglet ‘page d’accueil’.
5. In the Address box, browse to the folder you have just extracted the Taskboard files and select the kanban.html file. / Dans le champ adresse, naviguez jusqu’au dossier où vous avez extrait le fichier kanban.html.

Even though the look of it seems promissing I’m still adjusting to it, taking into account tasks I was already following with flags and categories. I’m hoping this set up will improve my project management.

Bien que l’apparence semble prometteuse je suis encore en phase d’adoption, pour la prise en compte de tâches que je suivais déjà avec des drapeaux et des catégories. J’espère que cet arrangement améliorera ma gestion de projet.
